PROCEDURE ONE

Search Contacts

 

Before creating a new Contact in aXcelerate, you can search the current list of contacts to ensure a duplicate is not created.

Contacts can be searched for from most pages on aXcelerate, wherever the menu bar at the top of the page shows, see the following steps:

Search for a Contact by Name Only:

  • Enter the name into the Search contacts field (top-right corner)

    • Individual student or employer contact - use name

    • Accounts profile for company - Accounts (space bar) (-) Company name

  • Press the enter key

  • Select contact from the results showing in the drop-down

Search for a Contact by Contact Details:

  • Select Contacts, and then Add Search Contacts from the drop-down

  • Enter in one or more details into the fields shown

    • Names, Date of Birth, Email Address, Phone Number etc

  • Select Submit

  • You can view a Contact Record by clicking the contact's name, which shows as a hyperlink.


PROCEDURE TWO

Create a Contact

 

For all students enrolling into a course with Strategix, an enrolment form is to be completed. Once an enrolment form is completed, an aXcelerate contact profile is automatically created based on the form. Contact profiles should not be created for students as the enrolment form will include all required fields to be completed.

In some other instances, contact profiles need to be created for employers, supervisors, employment service providers, etc.

Contacts can be created from most pages on aXcelerate, wherever the menu bar at the top of the page shows. When creating a contact, you will be shown a form to fill out all of the relevant personal details.

To Add a New Contact - Person’s name

  • Select Contacts, and then Add New Contact from the drop-down

  • At a minimum, enter the following details for the contact:

    • Title e.g Mr, Mrs

    • Given Name, Surname or both

    • Organisation (if applicable)

      • Use the search field to find the organisation to attach

    • Phone: either Work or Mobile

    • Email address

    • Postal Address and Permanent Street Address (if required)

  • Click Create Contact

To Add a New Contact - Accounts Profile for Company

  • Select Contacts, and then Add New Contact from the drop-down

  • Enter the following details for the Company:

    • Given Name: Accounts (space bar) (-)

    • Surname: The legal name of the organisation e.g. APM

    • Organisation: trading name

      • Use the search field to find the organisation to attach

    • Position: The position of the employer contact - usually found on the service agreement or communicated by the BDO

    • Division: The full name of the employer contact - usually found on the service agreement or communicated by the BDO

    • Phone: either Work or Mobile

    • Email address

    • Postal Address and Permanent Street Address (if required)

  • Click Create Contact - found at the bottom of the page


PROCEDURE THREE

Update Contact Profile

 

You can update a contact profile at any point after it has been created.

Update Contact Details:

  • Search for the Contact or Accounts profile for the company and view the profile

  • Select the Update tab has a pencil icon beside it (top-left)

  • Edit the relevant details

    • For contact details such as phone number or email address, you may want to keep a record in the contact notes of the old details

  • Click Update Contact

Attach an organisation

If the organisation is known then this needs to be entered on the student’s, employer contact or the Accounts profile on aXcelerate. This will show as a blue font and it can be clicked on to see/add further details about the organisation.

To attach an organisation, follow steps above to Update Contact Details, type the name into the Organisation field which will search for a current one to attach. If the organisation is not listed, follow the steps in the Create an Organisation section.


Create an Organisation

 

An Organisation profile can be created on the accounts contact page in aXcelerate, see the following steps:

  • Click the ‘update’ heading once you’re on the accounts page

  • In the ‘update contact’ section, find the ‘organisation’ field.

  • In the organisation field - click the pencil icon to type the name of the company. This will usually be the trading name (for the workplace team this is found on the service agreement)

  • Once you type the trading name then it will automatically create it as an organisation

 


Update Organisation

 

The Organisation profile can be accessed either through the Contact Profile on aXcelerate or through the Contacts heading in the toolbar then selecting Organisations in the drop down.

Update Organisation Contact Details:

  • Click on the blue link - Organisation (sometimes this can take a while to load/open)

  • At the top/left hand side, click ‘update’

  • Enter as many extra details as you feel necessary or use this section to change/update the organisation name

Add Key Contacts

Adding a key contact must be done for workplace - QLD and VIC Programmed short course - this is part of the Quote for service process.

  • Follow the same steps above (update organisation contact details)

  • Must ensure that the employer contact has already been added to aXcelerate

  • In the ‘key contacts’ field search for the name of the employer contact. They should appear if they’ve been added to aXcelerate. Select the name

  • Click the orange ‘submit’ button at the bottom of the page
