Policy:

The NDIS Worker Screening check is an assessment of whether a person who works, or seeks to work, with people with disability poses a risk to them. The assessment will determine whether a person is cleared or excluded from working in certain roles with people with disability.

The NDIS Worker Screening Check will be conducted by the Worker Screening Unit in the state or territory where a person applies for the Check. The Worker Screening Unit also makes the decision about whether a person is cleared or excluded. Registered NDIS providers are required to ensure that they only engage workers who have been cleared in certain roles, called risk assessed roles.

Requirements relating to worker screening form part of the NDIS Practice Standards. Registered NDIS providers in all states and territories are required to comply with all the relevant NDIS Practice Standards. The requirements relating to worker screening are set out in the National Disability Insurance Scheme (Practice Standards – Worker Screening) Rules 2018.

Persons will need to have either an acceptable check that meets the transitional and special arrangements or undertake an NDIS Worker Screening Check and obtain a clearance if you are or will be engaged in a risk assessed role for a registered NDIS provider.

A risk assessed role is:

  • A key personnel role of a person or entity, as defined in s11a of the National Disability Insurance Scheme Act 2013 (for example, a CEO or a Board Member)

  • A role for which the normal duties include the direct delivery of specified supports or specified services to a person with disability

  • A role for which the normal duties are likely to require more than incidental contact with people with disability, which includes:

  • Physically touching a person with disability; or

  • Building a rapport with a person with disability as an integral and ordinary part of the performance of normal duties; or

  • Having contact with multiple people with disability as part of the direct delivery of a specialist disability support or service, or in a specialist disability accommodation setting.

  • Your employer is responsible for assessing whether or not your role is a risk assessed role.

If you work for a registered NDIS provider but are not engaged in a risk assessed role, it is not mandatory to have an acceptable check or an NDIS worker screening clearance, but your employer can still require you to get one.

It is an offence for registered NDIS providers to engage a person:

  • Without a clearance

  • Subject to a suspension, interim bar or exclusion.

Worker Application

Students are required to complete their own application through the relevant State Department (indicated in the Policy section of this document. Specific instructions are included in the NDIS Worker Screening Applications. Costs may apply, check each states requirements.

Verify Worker

Only persons who have NDIS Commission Portal access will be able to verify applicants. The Quick Reference Guide is available to assist in gaining access to the NDIS Commission Portal*.

* PRODA account creation will require the applicant to have the following:

  • Medicare card

  • Licence

  • Passport or Birth Certificate

The administrative Assistant:

Logs into the National Data Base using their individual login (PRODA)

Identifies applicants requiring a response

Verifies the student or employee is associated with Strategix. If they are not, select Reject.

Enters in the email address of the applicant as per the aXcelerate profile and select Save and Return

Notice of Outcome

Emails will be received at the following stages of the process:

  • Upon application of the worker

  • Upon verification

  • Upon approval/decline

  • Upon removal

Students/workers cannot commence work or Vocational Placement until we have received the email issued to Strategix advising that the applicant is either approved to commence work or is not eligible to work with NDIS participants.

In the instance of approval, continue to step four (4).

In the instance where a student is not approved, the Administrative Assistant moves to withdraw the student from the course. There may only be exceptions where a student may complete Vocational Placement at a non-NDIS facility.

Evidence Upload - Approval

The notification email is to be saved against the individuals portfolio Checklist under the portfolio item ‘NDIS Worker Screening’.

The Administrative Assistant uploads the email and then adds in the following detail to the Portfolio Item:

  • Number (Worker Screening ID)

  • Issue date (Date changes came into effect)

  • Expiry Date

  • State

Example email:

Remove Worker

Access the NDIS Commission Portal and complete the following process:

  • Access My Workers

  • Select Actions

  • Select Remove

Evidence Upload - Removal

The notification email is to be saved against the individuals Portfolio Checklist under the portfolio item ‘NDIS Worker Screening’.

The Administrative Assistant updates the Expiry Date to be the date removed from the organisation.
