Vocational Placement
This policy outlines the roles, responsibilities and procedures for Individual Support Trainers in preparing students for vocational placement.
POLICY
Responsibilities of Trainers
Each Individual Support Trainer must ensure they adhere to the following responsibilities:
Ensure all students are adequately prepared for their vocational placement.
Clarify roles and expectations of placement throughout the duration of the course.
Review the VP agreement, attendance records, and task logs with students before placement starts.
Release all VP assessments prior to the student commencing their vocational placement.
Marking all outstanding assessments and VP assessments once students begin their placement.
Add notes to the student's profile under the 'Vocational Placement' note type in aXcelerate, tagging the VP Coordinator for review, especially if:
The student has secured their placement independently.
The student requires part-time placement (self-arranged).
The student resides in a rural area or a location distant from the training campus.
The student is currently working in the industry.
Document Submission and Deadlines
Trainers are also responsible for ensuring that the correct documents are submitted by the deadline. See below for a checklist on what is required:
All required placement documents should be uploaded to aXcelerate three weeks before the placement start date.
At the end of each unit of study, trainers should remind students to send through their placement documentation requirements.
Trainers should inform students about the NDIS clearance process and ensure they follow the application steps - NDIS Worker Screening Applications.
Students must be up to date with their assessments before starting placement.
Placement dates may vary due to facility availability, but efforts will be made to match the expected start date.
Trainers are responsible for providing students with name badges, which can be requested from the Coordinator.
Vocational Placement Overview
Vocational placement is a full-time commitment (Monday to Friday) for three consecutive weeks.
Students needing part-time placement must arrange it themselves and notify trainers.
International students or those living far from campus should inform the VP Coordinator as soon as possible.
Placement Requirements
Trainers will need to ensure that their students have met the following placement requirements:
A flu shot is mandatory for the facilities we use.
A Yellow Card is required. Students must email confirmation that it is being processed by the end of their first unit of study and upload it to aXcelerate, tagging the VP Coordinator.
An NDIS Workers Orientation Certificate must be submitted.
A Police Check is required only by specific facilities; the VP Coordinator will arrange this when necessary.
Most facilities no longer require COVID vaccinations; however, students should upload their vaccine status if applicable.
Facility-Specific Agreements
For placements at Infinite Care, Arcare, Regis, or Opal, students do not need to sign the Vocational Placement (VP) agreement form. Instead, they sign a contract before starting placement, which should be uploaded to the VP agreement assessment.
These contracts are governed by a Memorandum of Understanding (MOU) with the respective facilities.
